REPORTS TO: Benefits Manager
JOB SUMMARY: Responsible for smooth operation and quality customer service at the front end of the agency including the proper and professional routing of all phone calls, visitors, applicants, consumers, volunteers, guardians, and employees.
ESSENTIAL JOB FUNCTIONS:
- Answers the main switchboard lines and directs calls.
- Greets all visitors in a friendly and professional manner, assisting them with following the visitor’s policy and procedures.
- Administers the application process, provide applications, reviews for completion, logging applications in spreadsheet and routing to the HR Director.
- Assists departments with maintaining client and other databases for agency efficiencies.
- Types correspondences for the administration departments as needed.
- Handles and distributes all mail and faxes.
- Maintains office supply inventory and coordinates supply orders.
- Maintains and troubleshoots the office equipment of the front reception area (fax machine, stamp machine, printer, copy machines)
- Provides administrative support to Human Resources Department and Senior Administration Team; typing correspondences/paperwork, filing and maintain of staff’s personnel records, utilize Abra (HRI) system, utilize the Access program, benefit knowledge.
- Performs other duties as assigned.
MARGINAL JOB FUNCTIONS:
- Takes and transcribes minutes at HR Dept meetings and other meetings as assigned
- Maintains Agency personnel handbook
- Monitor video screens
PHYSICAL & VISUAL REQUIREMENTS:
1. Ability to lift/push/pull up to 30 lbs.
2. Ability to see accurately both near and far
3. Ability to walk, bend, twist, kneel, and stoop
4. Ability to accurately manipulate small objects accurately using fine motor skills
.
QUALIFICATIONS:
- Professional phone manner, demeanor and appearance
- High School Diploma or GED equivalent required, BA preferred
- Meet criteria of the reading (TABE) and math surveys
- Valid and acceptable driving record
- Excellent communication skills
- Typing 50 words per minute
- Knowledge of Microsoft Office applications
- Two years related experience preferred, 1 year required
