JOB SUMMARY: The Grants Manager is responsible for cultivating funding and donor relationships from public, private and federal funding sources. This position will work closely with the Senior Management Team to align grant request efforts and targets with NorthPointe’s strategic plan and mission. The Grants Manager has the overall responsibility for researching, strategizing and writing grant applications and reports to foundations and government entities, as well as to corporate sources. The Grants Manager will identify, cultivate and solicit new sources of revenue; oversee stewardship activities; and ensure compliance to the terms of grant agreements and contracts. S/he will develop and nurture relationships with funders and donors to ensure sustainable funding partnerships.
ESSENTIAL JOB FUNCTIONS:
1. Responsible for overseeing grants management and integrating it with the agency’s program work and accountabilities. This person monitors the grants management operations to ensure overall high quality of grants administration across programs.
2. Create a grant submission calendar based on targeted research. Research and identify potential private, corporate, city, state and federal funding sources. Produce, submit, and acknowledge grant proposals and progress reports based on grant guidelines and submission deadlines.
3. Cultivate and maintain relationships with funders through visits, letters of inquiry, phone calls, etc.
4. With Finance and concerned Division/s, regularly review funding gaps and needs, monitor income and expense on all grants and funding agreements, and notify program/Division heads on a regular basis of grant status.
5. With the Finance and concerned Division, coordinate the preparation of program (narrative) and financial reports.
6. Contribute to proposal/program development for major grants, new public and private funding and manage foundation/corporation proposal process.
7. Provide clear and concise grants administration policies and procedures and support systems that includes:
- Communicating with grant partners regarding grant agreements, reports and payments.
- Developing a process for tracking proposals and reports; and for issuing reminders to appropriate staff.
- Creating and maintaining updated and accurate grant files.
- Together with concerned staff, monitoring project deliverables against expenses for all grants.
- Facilitating monthly major grants meeting and providing regular updates to staff.
- Developing and overseeing the timely implementation of standard terms and conditions for grant award letters, agreements and contracts
- Creating and updating grants management manual.
- Conducting ongoing grants administration & foundation management research.
- Responding to intra-office and public inquiries and requests for grant-related information.
- Producing reports and lists for inclusion in agency publications, including the annual report and web site.
- Creating an annual report of grants paid for internal auditors and reports as requested by the Finance Division
MARGINAL JOB FUNCTIONS:
1. Keep abreast of developments in the field of grant writing through networking, etc.
2. Conducting research on a wide range of issues and trends in philanthropy to support the staff’s knowledge base.
3. Training staff on both grants procedures and grants management software.
4. Participating in the agency’s strategic planning and program development as a member of the leadership team
5. Performing other duties and assignments determined by the agency
QUALIFICATIONS:
1. A Bachelor degree in Arts and Sciences, Business, Marketing, or Economics, a Master’s degree is preferred, plus equivalent years of 3-5 years of direct work experience with a non-profit organization.
2. Three years or more in extensive grant writing and management experience and application of best practices in grant seeking. Skills in developing and writing grant proposals and managing funded grants.
3. Ability to maintain quality standards and produce a high volume of work against deadlines. Advance ability to prioritize tasks, analyze data, problem solve, think critically and create and improve organizational systems.
4. Extensive knowledge of and experience in philanthropy and the nonprofit sector within Lake County and metro Chicago area.
5. Knowledge of public and private grant funding practices/procedures/rules/regulations
and grant development/management principles.
6. High level expertise in grants and database management. Knowledge of grants management software (RE7) and information technology skills, Excel, Word and Outlook.
7. Ability to communicate technical, budgetary and program details to funders and staff.
8. Experience in budget and cost management is desirable.
9. Exceptional organizational skills and attention to detail. Ability to manage complex and detailed assignments.
10. Ability to design and implement effective workflow processes and procedures
11. Excellent oral and written communication skills reflecting in-person communication skills via the telephone and email.
